This page explains what personal information Videojam keeps, why, for how long, and who helps us handle it. It is written in plain English. If something here is unclear, email us.
Who we are
Videojam (videojam.live) is a curated music video discovery site run from Barcelona, Spain. We decide why and how your information is used, so we are the ones responsible for it.
You can reach us at hello@videojam.live. Our Terms of Use and the rest of our legal pages are on the Legal & Terms page.
What we store
If you listen with an account
- Your email address. If you sign in with Google, also your name and profile picture from Google.
- How you signed in (Google, or a sign-in link or code sent to your email), and when the account was created and last used. We do not keep a password for listener accounts.
- Favourites: when signed in, the videos you save are stored in your account. Your Continue Watching history is saved to your account so it can follow you across devices. If you cast an Audience Award vote at Videojam Fest, we store your choice and when you voted. An optional public name, if you set one for your playlists.
- If you opt in to our newsletter or the Friday chart email: a record of that, with the date, where you opted in, and the date you unsubscribed if you did.
- When you create an account: the campaign tags in the link that brought you (for example utm_source) and an ad click id, if the link had one. This tells us which of our own campaigns led to sign-ups. It holds no IP address or browser details.
If you are an artist
- Claim invites. When we set up a page for an artist and invite them to claim it, we keep the email address the invite was sent to, a one-way fingerprint of the invite link (never the link itself), when it expires (7 days), and who at Videojam created it. When the page is claimed the invite is deleted and that address becomes the sign-in email for the page.
- Your artist account: that email address, your display name, the profile you build, and a hashed password if you chose one instead of signing in with Google or an email link.
- Your agreement to the Artist Terms: the date and time you ticked the box when you claimed, and the version of the terms you agreed to.
- A public contact email, if one is shown on your page. This is an address you already publish on your own YouTube or social accounts. It is shown on the page as a Contact link. We never use it to send anything ourselves, and it is separate from your sign-in email.
- Some artist pages are created by us before the artist joins, from information that is already public on YouTube. Until a page is claimed we hold no sign-in email for it.
If you send a message to an artist
- The contact and booking form on a claimed artist page stores what you type: your name, your email address, the reason you chose (Booking, Press, Collaboration or Other), the event city, country, date and budget if you filled them in, and your message. You must tick a box agreeing that Videojam forwards the message to the artist and keeps a copy.
- We also store whether it was delivered, the delivery id from our email provider, whether the artist has opened it, the date and time, and a scrambled (salted, one-way) version of your IP address that we use to limit abuse. We do not store the IP address itself with the message.
- The message is emailed to the artist at their account email, with a copy sent to Videojam admins. When the artist replies, the reply goes straight to the address you gave. Pages that are not claimed do not take messages.
Emails we send, and the records we keep of them
- When someone at Videojam sends an artist an introduction or welcome email from our admin tools, we log it: when, which version of the email, the recipient address, the subject, who sent it, and the delivery id from our email provider.
- If you unsubscribe from artist broadcast emails, we mark your artist profile as opted out and keep the date, so we do not email you again.
- The Friday chart email uses a double opt in: we email a confirmation link, and send the chart only after you click it. We store your address, where you asked from, and when you asked and confirmed. Resend sends the emails and holds your address in our audience after you confirm.
- The newsletter is optional. For people who had an account before we introduced the opt-in, we rely on article 21.2 of the Spanish LSSI (commercial messages about our own similar services to existing users). Every issue has an unsubscribe link.
What every visitor leaves behind
- Our servers log your IP address, browser type and the page requested, for security and to keep the site running.
- To stop abuse, short-lived counters tied to your IP address are kept in a rate limiting service. They expire when the limit window ends.
- A session cookie while you are signed in. Your cookie choices, your queue and your guest favourites stay in your browser, on your device.
- Also in your browser only, never sent to us: the dates of your last two visits (used to mark what is new, and to count anonymous return visits), your Continue Watching history if you are not signed in (it stays on your device), and your answer to the one-time Friday chart card shown after you create an account with Google.
- We count how many people accept or reject the cookie banner. That count does not say who chose what.
Why we use it
- To run your account, sign you in, and keep your favourites and history.
- To let people contact artists, and to let artists claim and manage their pages.
- To email you what you asked for (sign-in links, the newsletter, the chart) and to record that you asked.
- To keep the site secure and stop abuse.
- To understand how the site is used and which of our campaigns work, using the tools above and your cookie choices.
- We do not sell your personal information.
How long we keep it
Where we have set a specific period, it is below. For everything else we keep the information until you ask us to delete it, or until you delete your account.
- Artist messages and contact details (including messages sent through an artist contact form): kept until the person asks us to delete them, or closes their account.
- Artist claim invites: valid for 7 days, and deleted as soon as the page is claimed.
- Your watch history and Audience Award vote: kept until your account is deleted.
- Newsletter and chart email records: kept while you are subscribed. After you unsubscribe we keep the unsubscribe record so we do not email you again.
- Artist broadcast opt-outs: kept, so we do not email you again.
- Rate limiting counters: they expire when the limit window ends.
Who handles it for us
These companies process information on our behalf, or run a tool you have agreed to. They also have their own terms and privacy policies.
- Resend sends our email: sign-in links, artist messages, introduction emails and the newsletter. It sees the address, the message and delivery events. Resend is in the United States; the transfer is covered by standard contractual clauses and its EU-U.S. Data Privacy Framework certification.
- Vercel hosts the site and keeps server logs.
- Our database is a MongoDB server that we run ourselves on a Google Cloud virtual machine in Belgium (the europe-west1 region). It holds accounts, artist profiles, messages and the records described above.
- Upstash provides the rate limiting counters described above.
- Google provides Sign in with Google if you choose it, and Google Analytics 4 if you accept Analytics.
- Microsoft provides Clarity if you turn on Session recordings.
- Reddit provides the Ads pixel if you accept Advertising.
- YouTube plays the videos. We use YouTube's official embedded player, and YouTube's own terms and privacy policy apply when you press play.
Your choices and rights
- Ask us to delete your information: email hello@videojam.live from the address concerned. This covers a listener account, an artist account, a message you sent through a contact form, and any records of emails we sent you. We may ask you to confirm it is you.
- You can also ask to see what we hold about you, correct it, restrict how we use it, receive a copy, or object to how we use it.
- Artist broadcast emails carry a one-click unsubscribe link. It stops broadcasts to that address. The one-to-one introduction and welcome emails are written and sent by a person about your own page and have no unsubscribe link. If you do not want your page, or want us to stop writing, reply to that email or write to us and we will act on it.
- The newsletter and the Friday chart email each have an unsubscribe link in every issue, and the newsletter can also be switched off in your account settings.
- To change cookie choices, use Cookie preferences in the footer.
- If you are in the European Economic Area or the United Kingdom, you can also complain to your local data protection authority.
